8 screens, no sales call

A tour of every part of FirmHello

Every screen an accounting practice touches, in the order you would meet them. This is the whole product — there is no second, more complicated version behind a sales call.

A client's request list, as your firm sees it.

Request lists

The request list is the whole idea

A request list is a named set of things you need from one client for one piece of work. Each item is a file to upload, a question to answer, a fact to confirm or a document to sign, and each one carries its own instructions so it arrives usable the first time.

Your client sees a checklist with a progress bar. You see the same list with the state of every item. Nobody has to ask what is still outstanding, because the list is the answer.

  • Four item types — upload, answer, confirmation, approval
  • Saved as templates and reused across clients and years
  • Reminders attach to the item, not to a person at your firm

Firm dashboard

One screen for everything that is stuck

Every engagement with something outstanding, oldest first, with the blocking item named and the staff member it is assigned to. This is the screen a partner opens instead of asking around, and the one a preparer works down.

Nothing here is a chart. Charts tell you how you did last quarter; this tells you who to chase this afternoon.

  • Sorted by how long an item has been waiting, not by client name
  • Filter by assignee, engagement type or office
  • Unassigned work is surfaced rather than quietly waiting

The same list, as your client sees it on their phone.

What clients see

What your client actually opens

No account to create, no password to invent, no software to install. Your client follows the link, lands in their own space under your firm's name, and sees a short list of what you need with a button beside each.

Most client documents start life as a photograph on a phone, so uploading from one is the path the screen is designed around rather than an afterthought.

  • Works on a phone, which is where the document already is
  • Optional password or one-time code for clients who want one
  • Their own prior documents are always available to them

Client vault

Every document, for as long as you need it

Everything a client has ever sent or been sent, foldered by engagement and year, versioned, and searchable by name or content. The vault is what clients come back for, which quietly removes a whole category of request from your inbox.

Because it is permanent and structured, a year-end archive or a handover is an export rather than an afternoon of assembly.

  • Version history, so the executed copy is never in doubt
  • Retention set per client or per engagement, and purges are logged
  • Full export at any time, structure intact, without asking us

Automatic reminders

The chasing happens without you

Every outstanding item has a reminder schedule. FirmHello sends the notices from your firm, on the rhythm you set, naming the specific items that are still missing — and stops the moment they arrive.

The reminders belong to the request rather than to a person at your firm, so a client is never chased twice about the same thing by two people, and nothing stops because somebody is on leave.

  • Schedules per template, tightening as a deadline approaches
  • Sent from your firm's address, and they carry no client detail
  • Every notice sent, opened and acted on is on the record

Approve Request changes

The approval record files itself into the client vault with the document.

An approval, recorded properly. Not a signature.

Approvals

An approval you could still rely on in two years

Put a document up for approval as an item on the same checklist. The record captures the person who approved it, the exact wording they agreed to, the time, the address they came from, the way they were verified, and a fingerprint of the version they were looking at.

That last part is the one that matters. A later edit cannot inherit an earlier approval, so "this is the version you approved" is a fact rather than a memory.

This is not an electronic signature, and we do not describe it as one. Where a document genuinely requires a signature — an engagement letter your regulator expects signed, a form with its own signing rules, anything a court would look at — use a qualified e-signature provider. An approval is for the far larger pile of things that only ever needed somebody with authority to say yes, on the record.

  • Person, wording, time, IP, verification method and document fingerprint
  • The approved version is locked, so it cannot be edited afterwards
  • Approval records export with the document, not separately

What this creates

  • A client record with their details already filled in
  • Portal access issued to their email address
  • Their first request list, from the template you chose

One public link, and the client onboards themselves.

Intake forms

A new client onboards before you speak to them

One public link, on your website or in your email signature, that turns an enquiry into a client record, their portal access and their first request list — without anybody at your firm typing anything.

For a remote practice this is the whole top of the funnel. For everybody else it means onboarding runs the same way whoever answers the phone.

  • Fields you choose, with your own wording
  • Creates the client, the access and the first request list
  • The new client is already uploading before your first call

Audit trail

Who opened it, and when

Every view, upload, download, approval and permission change, recorded with the person, the time and the address. Views are logged and not just downloads, because the question a client actually asks is who looked at their file.

The log is yours to export, per client or per engagement, whenever an insurer, a reviewer or a client asks. You do not have to raise a ticket with us to get it.

  • Actor, timestamp and IP on every action
  • Permission changes recorded alongside document access
  • Self-service export, per client or per engagement

Client documents are the most sensitive thing a firm holds

So the portal is built to hold them properly: encrypted, access granted one client at a time, and every action recorded. Nothing travels as an email attachment.

How FirmHello is built
Encrypted in transit and at rest
TLS 1.3 on every connection and AES-256 encryption for stored documents, with keys managed separately from the data they protect.
Access is per client, not per firm
A client can only ever load their own space. Staff access is granted per client, so a junior can be given three files and nothing else.
No documents in email
Notifications tell a client that something is waiting and link them to the portal. The material itself never leaves it as an attachment.
Complete audit trail
Views, uploads, downloads, approvals and permission changes are all recorded with actor, time and IP, and the log is exportable.
Retention you control
Set how long documents live per client or per matter, and hold or purge on request, so the portal matches the retention policy you already have.
Hosted in your region
Choose United States, Canada, the EU or the United Kingdom, and your firm's data stays in that region.

That is the whole product

There is no enterprise edition with the good parts in it. Every plan gets every screen on this page, with unlimited staff seats and unlimited client logins. What changes is storage, how long documents are kept, and the controls a larger firm has to have.

Try it on the client who never replies
