Your practice should not run on chasing

A client portal built for accounting firms. One checklist per engagement, on your own domain, chased automatically — so every preparer asks for the same things and no partner has to ask who is waiting on what.

Free for 14 days. No credit card, no sales call, and nothing for your clients to install.

Your client's view of a request list, on your domain and under your brand.

The return is not the bottleneck. The asking is.

Every practice we have spoken to has the same shape of problem, and none of it appears on a timesheet.

A return sits at ninety percent

One missing number holds a job for a month, and nothing in your system is shouting about which job or which number.

Your inbox became the filing cabinet

Four photos of one receipt, across three replies, one of them sideways. Six weeks later you need the second one.

Somebody has to be the nag

The fourth polite reminder takes real time, sours a good relationship, and cannot be billed to anybody.

Clients are not being difficult

They genuinely do not know what you still need. Nobody ever showed them the list, because the list lives in your head.

One standard, applied by everyone

Build the list once at firm level. Every preparer sends the same one, and the follow-up stops being anybody's job.

  1. Step 1

    List what you need

Pick a template — a personal return, a matter file, a project kickoff — or type the items. Each one can be a file, an answer, a confirmation or an approval.

  2. Step 2

    Send one link

Your client lands in their own space on your domain. No account to create, no password to invent, no attachment limits to apologize for.

  3. Step 3

    Let it chase

Outstanding items get followed up from your firm on the rhythm you set. You watch a progress bar instead of writing reminders.

What your practice gets

Eight things, all pointed at the same job: getting what a return needs out of a client without asking twice.

All the detail

Request lists

Build a named list of everything you need — files, answers, approvals — and send one link. Your client sees a checklist, not a paragraph of instructions buried in an email.

Automatic chasing

FirmHello sends the reminders. Pick a rhythm, and outstanding items get followed up until they arrive or you call it off. Nobody on your team has to be the nag.

Client vault

Every document a client has ever sent or been sent, in one searchable place, versioned, with retention rules. No more hunting through three years of email for last year's engagement letter.

Roles and per-client access

Staff access is granted one client at a time, on top of owner, staff and limited roles. A seasonal preparer gets the engagements they are working on and nothing else, and loses them the day they finish.

Approvals on the record

Put a document up for approval as an item on the same checklist. The record captures who approved it, the wording they agreed to, when, from where, and a fingerprint of the exact version they saw. It is not an electronic signature and we do not pretend otherwise.

Intake forms

One public link that turns an enquiry into a client record, a portal login, and their first request list — before you have spoken to them.

Your brand, your domain

Your logo, your colors, your domain. Clients log in at portal.yourfirm.com and every notification comes from your firm, not from a vendor they have never heard of.

Audit trail

Every view, upload, download and permission change is recorded and exportable. When someone asks who saw what and when, the answer takes one search.

Client documents are the most sensitive thing a firm holds

So the portal is built to hold them properly: encrypted, access granted one client at a time, and every action recorded. Nothing travels as an email attachment.

How FirmHello is built
Encrypted in transit and at rest
TLS 1.3 on every connection and AES-256 encryption for stored documents, with keys managed separately from the data they protect.
Access is per client, not per firm
A client can only ever load their own space. Staff access is granted per client, so a junior can be given three files and nothing else.
No documents in email
Notifications tell a client that something is waiting and link them to the portal. The material itself never leaves it as an attachment.
Complete audit trail
Views, uploads, downloads, approvals and permission changes are all recorded with actor, time and IP, and the log is exportable.
Retention you control
Set how long documents live per client or per matter, and hold or purge on request, so the portal matches the retention policy you already have.
Hosted in your region
Choose United States, Canada, the EU or the United Kingdom, and your firm's data stays in that region.

Never priced by the person

Staff seats and client logins are both unlimited on every plan, so adding your whole team costs nothing. The tiers are storage, retention and the controls a larger firm needs.

Before you ask

How long does it take to get running?

About an hour. Uploading a logo and picking your colors takes ten minutes; the rest is turning the document list you already send clients into a reusable template, which is the step that does the work.

Do my clients need to install anything or create an account?

No. A client opens the link you send and lands in their own space. You can require a password or a one-time code for clients who want the extra step, but nobody is forced through a signup form before they can send you a document.

Is this a document portal or a whole practice management system?

A document portal, deliberately. It handles everything your client sees, sends, signs and can look up. Your own systems for time, billing and internal workflow stay exactly where they are.

Will it look like our firm or like your software?

Like your firm. Your logo, your colors, your domain, and notifications sent from your address. Clients never encounter our name, which matters when you are asking somebody to upload their tax documents.

Do you do e-signatures?

No, and we are deliberate about the distinction. FirmHello records approvals: who agreed, to what wording, when, from where, and against which version of the document, with the approved version locked. Where a document legally requires a signature, use a qualified e-signature provider — an approval will not substitute for one, and we would rather say that here than let you find out during a dispute.

What kinds of firm is this for?

Any firm whose work stalls waiting on documents from clients: accounting and tax practices, bookkeepers, law firms, financial advisers, agencies, architects and consultants. There is a page for each if you want to see it in your own language.

What does it cost?

Plans start at $79 USD a month, and every plan includes unlimited staff seats and unlimited client logins. What changes between tiers is storage, retention and the controls a larger firm needs. The pricing page has the detail.
