A comparison, written by the other side

A TaxDome alternative for firms that only need the portal

TaxDome is a whole practice management system with a client portal inside it. If the portal is the part you actually want, you are paying for, and setting up, everything around it.

No card and no sales call. Your portal carries your firm's name from the first client you add.

Okafor & Lind's portal, as their client sees it.

We make a competing product, so read this as an interested party's comparison. TaxDome is a capable, broad system: workflow, CRM, billing, e-signatures, a client app and the portal, in one subscription priced per seat. For a firm that wants to run the whole practice on one platform, that breadth is the point.

FirmHello is narrower on purpose. It is the portal — request lists that chase themselves, a vault, approvals on the record, your brand on all of it — and nothing else. Your practice management, billing and tax software stay where they are. The table below is the honest version of that trade.

TaxDome and FirmHello, side by side

TaxDome's side is taken from its public pricing page. Where a feature depends on the plan, the plan is named.

What it is TaxDome Practice management and client portal in one: workflow, CRM, billing, proposals, e-signatures, client app. FirmHello A client portal only. Works alongside the practice management and billing you already use.

How to choose between them

The decision is mostly about scope, and only then about price.

When TaxDome is the better choice

If you want one system for the whole practice — pipelines, time, invoices, payments, proposals, e-signatures and client chat — and you are prepared to spend the setup time to move everything onto it, TaxDome does far more than we do. We would not pretend otherwise.

  • You want practice management and the portal in one subscription.
  • You want e-signatures in the same subscription.
  • You want to message clients inside the same system.

When a portal-only alternative fits better

If you already run the practice on something you are happy with, and the problem is chasing clients for documents, a whole new platform is a large answer to a narrow question. A portal that only does collection, approvals and storage can be running in an afternoon and does not ask you to move your workflow. The client portal for accounting firms page shows how that works when several staff share the same clients.

  • You have practice management and billing you intend to keep.
  • You would rather not pay per seat for seasonal staff.
  • You want clients to reach their list without creating an account.

What to check before you switch either way

Moving portals means moving years of client documents. Whichever you choose, ask how you get everything out again, per client and with the structure intact, before you put anything in.

  • Can you export every client's documents yourself, without support?
  • What happens to client access the day you stop paying?
  • Does the price change when you add staff in your busy season?

What the portal-only alternative does

Every feature

Request lists

A named checklist per client: files, typed answers, confirmations and approvals, reusable next year.

Automatic chasing

Reminders on your schedule, from your firm's address, until each item arrives.

Your brand, your domain

Your domain and logo on everything the client sees.

Audit trail

Views, uploads, downloads and permission changes, exportable per client.

Client documents are the most sensitive thing a firm holds

So the portal is built to hold them properly: encrypted, access granted one client at a time, and every action recorded. Nothing travels as an email attachment.

How FirmHello is built
Encrypted in transit and at rest
TLS 1.3 on every connection and AES-256 encryption for stored documents, with keys managed separately from the data they protect.
Access is per client, not per firm
A client can only ever load their own space. Staff access is granted per client, so a junior can be given three files and nothing else.
No documents in email
Notifications tell a client that something is waiting and link them to the portal. The material itself never leaves it as an attachment.
Complete audit trail
Views, uploads, downloads, approvals and permission changes are all recorded with actor, time and IP, and the log is exportable.
Retention you control
Set how long documents live per client or per matter, and hold or purge on request, so the portal matches the retention policy you already have.
Hosted in your region
Choose United States, Canada, the EU or the United Kingdom, and your firm's data stays in that region.

Questions about TaxDome alternatives

Is FirmHello a full TaxDome replacement?

No. FirmHello replaces the client portal part of TaxDome. It has no workflow pipelines, CRM, billing, proposals or client chat, and it records approvals rather than taking e-signatures — for those, you can bring your own signing provider. If you use the other parts of TaxDome, you would need other tools for them.

Can FirmHello run alongside practice management software?

Yes — that is how it is meant to be used. FirmHello handles what the client sees and sends; your own systems for time, billing and workflow stay where they are.

How does the pricing compare for a growing firm?

TaxDome charges per seat, so the price rises with each person you add. FirmHello includes unlimited staff seats and unlimited client logins on every plan and charges by storage, so adding staff does not change the price.

Do my clients need an account?

Not with FirmHello. They open the link you send and land on their list. You can require a password or a one-time code for clients who want the extra step.

Ready when you are

Start with one client's year-end list, on your own domain, and see whether it comes back without a chase.

No card and no sales call. If you would rather tell us about your firm first, use the longer form.
